1. Introduction

Vero Dawn Consulting LLC (“Vero Dawn,” “we,” “our,” or “us”) operates the website located at verodawn.co (the “Site”) and provides AI consulting and systems-building services to business owners.

We are committed to protecting your personal information and your right to privacy. This Privacy Policy explains what information we collect, how we use it, who we share it with, and what rights you have in relation to it.

By using our Site or engaging our services, you agree to the collection and use of information in accordance with this policy. If you do not agree, please do not use our Site or services.

2. Information We Collect

2.1 Information You Provide Directly

We collect personal information you voluntarily provide when you:

  • Submit an inquiry through our contact form (name, email address, business name, message content)
  • Book a discovery call or consultation through our scheduling system
  • Complete the AI Action Plan Scan (name, email address, phone number, business description)
  • Communicate with us by email or other means
  • Engage us for consulting services (business information, operational data, and other details shared during the engagement)

2.2 Information Collected Automatically

When you visit our Site, we may automatically collect certain technical information, including:

  • IP address and general geographic location
  • Browser type and version
  • Pages visited and time spent on those pages
  • Referring website or search terms
  • Device type and operating system

This information is used to understand how our Site is used and to improve your experience.

2.3 Information from Third-Party Services

We use a third-party appointment scheduling service to facilitate booking of discovery calls and consultations. When you book a call through our Site, that service collects and processes your booking information in accordance with its own privacy policy. Scan submissions are routed through trusted automation and email-delivery platforms to create a contact record and send you your results.

2.4 AI Assistant and Scan Interactions

Our Site includes an AI-powered chat assistant and an AI Action Plan Scan. These tools are not human; they are conversational AI systems. When you interact with them, your input may be transcribed and processed by a third-party AI service provider.

We store conversation logs securely for up to 90 days to improve the assistant and understand visitor question patterns. After 90 days, conversations are moved to a private internal archive that is not publicly accessible. We automatically redact sensitive patterns such as Social Security numbers, credit card numbers, bank account numbers, routing numbers, and API keys before storage.

We use conversation data to respond to your inquiries, qualify service requests, and improve the assistant’s performance. We do not use AI assistant conversation data for advertising purposes or share it with unaffiliated third parties except as necessary to operate the service or as required by law.

3. How We Use Your Information

We use the information we collect for the following purposes:

  • To respond to your inquiries and communicate with you about our services
  • To schedule and conduct discovery calls, consultations, and client engagements
  • To deliver AI Action Plan Scan results by email
  • To provide, manage, and improve our consulting services
  • To send you relevant information about our services, updates, or resources (you may opt out at any time)
  • To comply with legal obligations and protect our legal rights
  • To detect and prevent fraud or other unlawful activity
  • To analyze how our Site is used and improve its functionality

We do not use your personal information for automated decision-making or profiling that produces legal or similarly significant effects.

4. How We Share Your Information

We do not sell, rent, or trade your personal information to third parties. We may share your information in the following limited circumstances:

4.1 Service Providers

We may share information with trusted third-party vendors who assist us in operating our business, including scheduling platforms, email service providers, cloud storage providers, AI infrastructure providers, and automation platforms. These service providers are permitted to use your information only to perform services on our behalf and are obligated to maintain its confidentiality.

4.2 Affiliated Entities

Information may be shared with affiliated entities for internal business purposes. All affiliated entities are bound by the same privacy standards described in this policy.

4.3 Legal Requirements

We may disclose your information if required to do so by law, regulation, legal process, or governmental request, or when we believe in good faith that disclosure is necessary to protect our rights, protect your safety or the safety of others, investigate fraud, or respond to a government request.

4.4 Business Transfers

In the event of a merger, acquisition, reorganization, or sale of all or substantially all of our assets, your information may be transferred as part of that transaction. We will notify you via email and/or a prominent notice on our Site of any change in ownership or uses of your personal information.

5. Cookies and Tracking Technologies

Our Site uses cookies and similar browser storage technologies to enhance your browsing experience. Cookies are small data files placed on your device. You can instruct your browser to refuse all cookies or to indicate when a cookie is being sent. However, if you do not accept cookies, some portions of our Site may not function properly.

We do not currently use third-party advertising cookies or cross-site tracking. For more detail, see our Cookie Policy.

6. Data Retention

We retain personal information for as long as necessary to fulfill the purposes outlined in this policy, unless a longer retention period is required or permitted by law. Specifically:

  • Contact form inquiries: retained for 2 years following last contact

  • Booking and scheduling data: retained in accordance with our scheduling service provider’s data retention policies
  • AI chat and Scan conversation logs: active storage for 90 days, then moved to a private internal archive

When personal information is no longer needed, we will securely delete or anonymize it.

7. Data Security

We implement reasonable administrative, technical, and physical safeguards designed to protect your personal information against unauthorized access, alteration, disclosure, or destruction. All traffic to verodawn.co is encrypted using HTTPS. Access to stored conversation data is restricted by password and limited to authorized team members. Sensitive patterns such as Social Security numbers, credit card numbers, bank account numbers, and API keys are redacted automatically before storage.

However, no method of transmission over the Internet or electronic storage is 100% secure. While we strive to use commercially acceptable means to protect your personal information, we cannot guarantee its absolute security. You acknowledge and accept this inherent risk.
